Repertoire Genesis, Inc. (hereinafter, “the Company”) has established the following personal information protection policy in order to appropriately manage and protect personal information obtained in the course of the Company’s business.

Regarding personal information, the Company shall observe all statutes related to the protection of personal information, guidelines pertaining to these statutes, all other related rules, and the regulations that have been established by the Company regarding personal information, accord such information the proper treatment, and thoroughly train all persons employed in the Company’s operations.

Proper collection, use, provision, and outsourcing of personal information

  1. When personal information is to be acquired, the purpose of use shall be clearly stated, the necessary scope of information shall be gathered, notification/disclosure of the purpose of use shall be provided, and the information shall not be used for any other purposes.
  2. The Company uses or stores personal information for the following purposes of use.
    • (1) Personal information of customers and vendors:
      • To make business arrangements, etc.
      • To provide information to or contact customers and vendors
      • To perform tasks for customers and vendors
      • To perform contracts executed between the Company and its customers and vendors
      • To provide information about the Company’s services
      • To provide information about seminars, symposiums, conferences, etc., that are held, cosponsored, supported, or contributed to by the Company
      • For services and support related to the Company’s services
      • For planning, research, and development to improve the Company’s services
      • To implement sales campaigns and other sales promotion activities for the Company’s products and services
      • To handle customers’ and vendors’ inquiries
      • Tasks related to the above items
      • For use for other purposes for which advance consent has been given
    • (2) Personal information of shareholders:
      • For administrative tasks concerning shares and shareholders
      • To fulfill the duties and exercise the rights of shareholders and the Company
      • To prepare statutory documents, records, and information
      • For tasks related to the above items
    • (3) Information of employees, executives, and other members of the Company (hereinafter, “Company members”):
      • To pay/calculate wages, etc.
      • To administer the safety of Company members
      • For human resources management vis-à-vis Company members
      • For tasks related to the above items
    • (4) Personal information of job applicants:
      • For the Company’s hiring activities, post-hiring human resources and safety management, and related tasks
    • (5) Personal information of retirees, etc.:
      • For procedures related to retirement
      • For necessary communications with respect to memorial services for the deceased
      • To provide information on the Company’s status
    • (6) Personal information handled on behalf of other companies:
      Such personal information is not to be disclosed.
      • Limited to the performance of those tasks stipulated in the subcontracting agreement, etc.
    • (7) Personal information related to objects in security cameras installed in the Company’s facilities:
      • To prevent crime and maintain safety in the Company’s facilities
  3. Personal information that is collected will not be disclosed to any third party, except in the following cases:
    • (1) In case of prior consent by the individual
    • (2) In cases of exceptions as provided for in Article 27, Paragraph 1, Items i-vii of the Personal Information Protection Act
    • (3) In cases under Article 27, Paragraph 2 (opt-out) or Paragraph 5, Items i-iii (external outsourcing, business succession or joint use) of the Personal Information Protection Act
  4. When providing personal information to as third party for use, the status of safety measures at the third party shall be clarified, and consideration shall be given to the appropriateness of such outsourcing. At the same time, the necessary and appropriate oversight of the third party shall be implemented to ensure the safety of personal information, such as by entering into a business outsourcing contract that includes a non-disclosure agreement with the third party and other matters necessary for implementing proper oversight.

Creation, provision, and use of anonymously processed information

  1. When the Company creates anonymously processed information, it shall establish processing criteria that are based on Japan’s Personal Information Protection Act and other related laws and regulations and follow these criteria when processing the said personal information so that specific individuals cannot be identified and the personal information used to create such data cannot be reconstructed.
  2. When the Company creates anonymously processed information, no one except the Company’s head of personal information management, the heads of the personal information management offices and departments involved in creating such processed information, and those workers designated by said department heads shall be permitted to come into contact with the wording deleted from the personal information that was used in this process, the information pertaining to the personally identifiable information, or specifically selected processed information. Also, necessary measures shall be taken to prevent contact with any other persons. Such measures include separating the oversight of information related to such processing from the oversight of other information and taking steps to ensure the safety and prevent the leakage of personal information.
  3. When the Company creates anonymously processed information, if personal information items are included in the anonymously processed information being provided to a third party, the personal information items included in the anonymously processed information given to the third party and the method of their provision shall be disclosed.
  4. When the Company creates and uses anonymously processed information, the anonymously processed information will not be referenced with other information, and the individuals whose information was used to create the anonymously processed information will not be identified.

Program to manage the safety of personal information and anonymously processed information

Internal regulations and systems shall be established and other necessary, appropriate measures, as well as safety measures, shall be taken to prevent and rectify unauthorized access to personal information and leakage, loss, or damage of personal information.

Commitment to continuous improvement

In the light of requests from customers or vendors or of changes in social conditions regarding the handling of personal information, this policy and other internal regulations shall be revised as necessary in order to maintain an appropriate level of oversight and protection vis-a-vis personal information.

Response to requests for disclosure, etc.

Inquiries regarding the Company’s handling of personal information or requests from individuals for the disclosure, revision, addition, deletion or cessation of use of their own personal information should be directed to the contact given below. We will let you know the procedures and fees. We will provide a response within a reasonable time period and scope in accordance with the Company’s internal regulations after first confirming the identity of the individual or his/her representative.
